Management Assistant

About the Job

As Management Assistant, you will directly support our Country Manager BE (and Sales Director) and will co-drive the EDP BE agenda from an operational/supporting point of view. You will work in the heart of different departments and you sign up for a challenging role with a lot of interpersonal interaction. The Management Assistant role is highly visible and varied, providing comprehensive and confidential support that will help drive our business forward.

The role will report into the Country Manager BE and dotted line to head of Head of HR Benelux and will share his/her workload between them, the Sales Director and the full CODI Team.

More concretely: how do we see the split and what are the topics you will work on in this role:

  • Personal Assistant to the Country Manager (and Sales Director) approx. 50%: fully responsible for fluent agenda & meeting management; travel management & declaration of expenses; supporting the Country Manager on different topics, being as efficient and effective as possible; full confidentiality in people topic.
  • CODI support – approx. 30%: management of leadership agenda; deployment, summarizing & follow up of CODI meetings, acting as Chief of Staff; management overall company calendar; admin support for the CODI; order lunches, flowers, presents, ... when appropriate; coordinate yearly holiday planning for CODI.
  • HR assistance – approx. 20%: responsible for organizing yearly events (Christmas, Sinterklaas, New Year, Summer, Kick-of,...); collaborate in Healthy&Safety actions throughout the year (member of WISE committee); create & update organizational charts + update Workplace postings; onboarding of newcomers & exit follow up: plan onboarding sessions; workplaces message for newcomers & exits; HR specific requests.
  • Other: Mail distribution of EDP; update mailboxes (pigeonholes) with names; PO management (in close collaboration with our PO Coordinator); ad hoc requests.

About You

First and foremost, you are a proactive and effective professional, who gets fulfilment in giving the best possible support. You must have high levels of ownership and accountability, being able to put yourself in your managers’ shoes.

For this role, you have an administrative background and at least 2 years of relevant experience. Excellent knowledge of Microsoft Office and Outlook tools is also required. Ideally, you are trilingual: French, Dutch & English.
